Preparing for Your Seminar

Here are some tips to help ensure that your seminar is a success:

Connect with the presenter:

Your presenter will contact you approximately one week before the seminar to exchange contact information and discuss arrival time, parking, room location, and any details specific to your attendees. If you do not hear from your presenter at least three days before your seminar, please contact Shari Tozian at stozian@mefa.org or 617.224.4861.

Watch for seminar materials:

We will inform you whether we plan to mail you handouts for your seminar or have the presenter bring them. If we let you know that your handouts will be mailed, and you do not receive them at least three days before your seminar, please refer to the tracking details we have provided or contact Shari Tozian at stozian@mefa.org or 617.224.4861.

Provide additional handouts:

If you have the resources, you may want to print the seminar presentation slides for your families, located on the right-hand sidebar of our Events page.

If you are hosting an Admissions seminar, you may want to print the following handout:

Coordinate equipment:

The presenter will bring the presentation on a USB flash drive. Please provide a laptop or computer with a projector, screen, and microphone. Be sure to set up all equipment ahead of time.

Encourage attendees to visit mefa.org:

By visiting our website before the seminar, families can download a copy of the seminar presentation, explore other resources, and sign up for MEFA emails that will help them stay on track.

Arrange the meeting room:

Set up a table where attendees can pick up handouts and evaluation forms (provided by MEFA). You may want to also provide printouts of the seminar presentation and pens.

Share Your Knowledge:

Use the seminar as an opportunity to inform attendees of other college planning resources you provide, as well as any scholarships coordinated through your office.

After the Seminar

There are important tasks to complete after a MEFA seminar to make sure that all of the families in your school have access to college planning resources.

Frequently Asked Questions

Can we partner with a neighboring school or organization to jointly host a MEFA seminar?

Yes. Many smaller schools and organizations in close proximity to each other host joint MEFA seminars.

How can I guarantee that I get a specific MEFA presenter?

Most presenters conduct seminars near where they live or work. To increase your chance of securing a specific presenter, submit your request to MEFA as far in advance as possible and offer several available dates that the presenter may choose.

What about inclement weather? Can we schedule a snow date in advance?

MEFA is unable to schedule snow dates in advance. In the event of inclement weather, your presenter will work with you to reschedule on a date that works for both of you. Please note, if your school or organization is closed for the day, the seminar is automatically cancelled.

May we schedule a local bank or financial planner to present during a MEFA seminar?

We prefer that you do not schedule other presentations at the same time as a MEFA seminar, as our seminars often last 90 –120 minutes and include a lot of detailed information for families to absorb. Keep in mind that MEFA presenters are experienced professionals who are prepared to answer attendees’ questions.

How should I advise those who ask me about the credibility of a private company that provides fee-based financial aid services?

Consider developing a school- or organization-endorsed policy that prevents you from endorsing (or not) specific fee-based assistance with the college financial aid process. Also, be sure to remind families that all information about financial aid, scholarships, and the application process is available for free through MEFA and college financial aid offices.
